OUTLOOK OFFICE
A completely new case and matter management system that can operate entirely within Outlook™ as a fully integrated component.

Alternatively the Vista Version can work as a standalone module; whichever way the user chooses to use the software the same databases are updated and everything is kept fully up to date.

Email as an environment is becoming increasingly popular and even the most luddite of fee earners are inevitably in Outlook. The Outlook Office case management system integrates automatically files incoming and outgoing emails against cases with no user intervention and even marks incoming emails in the fee earners in-box as being on file or not.

This versatile software combines case management, with the phone, digital dictation, task, web and text messaging with a full power document assembly engine that allows emails, letters and documents to be assembled against cases quickly and easily.

'smart' letters, documents and forms are merged with information from the appropriate case file whilst automatically choosing appropriate paragraphs and text depending on case circumstances.

Fully integrated to the phone Outlook Office allows live attendance notes to be recorded and saved against the files along with the time recording. Phone numbers are dialled by a simple point and click.

Digital dictation built into case & Outlook means that a simple click against a case file allows dictation against cases and tracks all the work stages as it is being done. Emails, letters and documents can all be sent with dictation attached to them for transcription by a secretary. Work can also be sent to outsource companies and automatically routed to the correct fee earner for checking or secretary for printing when returned.

With an integrated accounts system Outlook Office also shows the ledger card, cheque requests and billing requests on the accounts right inside a simple to view Outlook pane.

Offering links to ELITE™, TFB™, CIVICA™ and PILGRIM™ and our own CASHIER accounts systems the user has a choice of accounts system.

The product redefines user friendliness and allows a fee earner to open one software product that they are already familiar with and do their work.

Outlook Office is full function and compliant Microsoft Office component that uses the Microsoft SQL database for data storage and manipulation in the background.

The system is being launched to consultants in November 2007 and then to clients in January 2008.

Training needs are minimised as the software behaves, looks and feels like Outlook which most users are already familiar with.

ONE OFFICE WEB VIEW
A completely new case and matter management system that can operate entirely within a web browser.

The system gives full access to clients, matters, workflow, events, tasks, work done all from within a web browser interface.

Featuring 128bit encrypted security this is an ASP.net application that gives live access to the office files whilst away from the office.

The internal security allows you to give access to clients or work providers but ‘lock’ them down to see specific matters only. Once they have been locked to a matter you can then set exactly what they are able to do or more specifically what they are not able to do!

ONE OFFICE - DOCUMENT MERGE
This is a new function introduced to One Office that allows the user to select a number of documents on the events log and with a simple click merge them together into a single PDF file with a created index suitable for HIP preparation.

This new facility has proved invaluable for both HIP and bundle production. The facility has been provided to all One Office users free of charge as a part of their maintenance program.

ONE OFFICE – PRACTICE MANAGER LINKS
system now connects to ELITE™, TFB™, CIVICA™, PILGRIM™ and our own CASHIER accounts systems for sharing of matter and client information. This reduces replicated data and allows far more efficiency in the practice.

ONE OFFICE CONTACTS DATABASE
The Contacts database allows you to put an infinite number of contacts on any given file. You can search by contact to see what third party or contact is associated to which files. This allows greater flexibility with applications such as Personal Injury, as you can write to groups of contacts.

DPS CRIME DIARY
Try to open your electronic diary and try to look at all the appointments for a particular fee earner. That’s no problem, now look at all the appointments for a group of fee earners, using outlook, no problem. Now in the same diary look for all the appointments you have at Highbury Corner, Magistrates Court. Not quite as easy, now look for all the appointments in all magistrates’ courts, or all crown courts, oh and by the way sort them by court. Now in the same view add in all the court duty dates now make all of that information accessible on my mobile phone wherever I am.

This was the brief that DPS undertook when designing their Internet based court practice diary. Any appointment logged or made by sending an appointment letter in DPS is automatically published to the central online diary. The system then automatically sends confirmation email and calendar appointment to the person for whom the appointment is being made. This is then recorded in their Outlook calendar.

DPS Court Diary is a browser based solution written in ASP.net that can be accessed from any location, using any web enabled device such as a PDA, laptop or 3G phone giving staff current information from any location.

VHCC - DPS have a new application that deals with VHCC cases (very high cost cases). This is a much specialised application for our crime who deals with these very high cost cases. VHCC is written specially, so that it provides specific reporting and bills for both the client and the Legal Services Commission. We are committed to make the forthcoming Carter reform changes to our criminal billing system. This will be available free of charge to clients as part of their maintenance program.
