Quill’s overflow typing support for Robert Simmons Solicitors
With a flourishing conveyancing department and administration team at full capacity, long-standing Quill client, Robert Simmons Solicitors, utilises the Quill Type outsourced typing service for overflow support.
“Conveyancing is our busiest area,” explains Stuart Jones, conveyancer at Robert Simmons. “As anyone who operates in this field knows, there are seasonal fluctuations causing peaks and troughs at certain times of the year. Rather than increasing the number of conveyancing assistants employed in our practice, as this wouldn’t make good business sense for quiet spells, we tap into Quill’s typing service as and when we need it. The outsourcing model is extremely flexible and perfectly complements our existing resources.”
Prior to Quill Type, Robert Simmons’ conveyancers were dictating face-to-face to in-house assistants. When Quill announced its typing service, the law firm was quick to sign up and simultaneously took the opportunity to improve internal operations.
“Our previous methodology was inefficient, wasting both fee earner and administration time,” adds Stuart. “It’s much quicker dictating into machines. We’ve bought several devices and our conveyancers now use these to dictate letters and other correspondence, such as emails. Either our own typists or Quill’s typists produce the end documents from these dictations. The whole process is much more streamlined and saving no end of time. Plus we have Quill’s backing when our workload gets hectic. It’s the ideal set up.”
In his concluding statement, Stuart praises his software and outsourcing service supplier, commenting: “We use Quill for everything – case management, legal accounting and document management software, and outsourced cashiering and typing support. It’s so convenient having one primary provider. Quill Type is working so well in conveyancing that other departments within our company, litigation included, are now researching the possibility of using the typing service too.”
