All organisations, especially professional service firms, need a Knowledge Library that is regularly maintained containing model documents, checklists, marketing materials, policies and guidance. Firms with managed Knowledge Library containing model documents classified by Department/Practice, type of work and other metadata can use this to create a Master Clause Library automatically.

To create a Master Clause Library, firms need to employ an indexing technique known as chunking.

Chunking requires each model document in the Knowledge Library be split into logical chunks, typically of 300 to 500 words (approximately half a page), using natural boundaries such as headings or new paragraphs. In most documents the first chunk would typically hold details on the document itself and each subsequent chunk would be a “clause” (we are using the term clause here as a unit of knowledge).

Each chunk needs to be classified as being part of the document and also classified individually using headings.  Fortunately all legal documents of any worth are naturally split into logical sections under headings. Where clauses exceed 500 words it can be assumed they come under the previous heading and are given the same classification.  The 500 word limit is arbitrary but is recommended as a manageable value for storing and interrogating by AI’s.
