Focis: Five stepping stones to client portal and mobile app – Integrate clients to your process

Client engagement and bringing clients into our workflow processes has very much become one of the fastest growing areas in Legal Tech. It already made sense pre pandemic and since then with many of us still preferring to work remotely it’s simply easier to ensure your clients can stay updated and send back documents and data electronically.

These projects can seem daunting but they needn’t be. Just as with workflow / automation there’s a needless risk to starting too big. Below are 5 key steps that are much easier when broken down and allow for much earlier implementation of as distinct projects and can be done in what ever order you think best.

At Focis not only do we have experience to define this strategy and have our own platform and product to deliver each step but also the technical experience to  integrate your own products if you prefer. Step 1 Data Entry Forms

A great first step is looking at any forms your require you client to complete and simply making those available securely online. Then hook those forms into your workflow process so that as well as an email and attachments your clients also have the option to go online to complete. The client has a better experience and you can get data automatically loaded into the right part of your process. It’s a win for both sides!

Step 2 Sharing Updates

You will have your workflow / case management process defined. You will know the stages , you have done the hard work. Very often a Client simply wants to know the staps and stages and know when each step is complete. Present that data through a simple infographic and not only are they better informed , they are less likely to call looking for updates.

This step is also a great place to better understand your corporate clients. What metrics do they wish to see across the matters they have referred in to your firm. Build the Dashboard that works for them.

Step 3 Sharing Documents

Of course Documents are still a huge part of any Legal Process. Clients get frustrated having to search back through emails to find the right attachment. Start sharing them securely to a central point and ideally the same point where they can get updates on their case. Need a document back from your client? Give them the simpler option of uploading that document to a Portal and App – you get the benefit of that document being saved straight back to the right file and alert your Fee Earner at the same time.

Step 4 Document Signature and Onboarding Integration

One thing we are starting to hear a lot from clients of law firms is the number of systems they are asked to sign in to stay updated. Doing a full review of how your clients signs documents , complete AML and pay bills can ensure you give them one place to do it all but still lets you use the software partners you wish – it’s simply a matter of getting the integration right.

Step 5 Re-Engagement

Now you get the reward. Your client has been delighted at the seamless painless process in working with you via your portal and mobile app and you will be first in their mind when they need another service. Makes sure they can pick up where they left off and re-engage with you right from the App they are now used to using.

Please do make an appointment and let us talk you through how our experience can make this strategy work for you (with or without our Portal and Mobile App!)
